Import/export rules
You can export rules (rule settings + email signature templates) configured in CodeTwo Email Signatures 365 to create backups or move rules between Microsoft 365 tenants. The import/export feature works with all types of rules: cloud (server-side) signature rules, Outlook (client-side) signature rules and autoresponder rules.
Export rules
To export rules from CodeTwo Email Signatures 365, sign in to the Signatures app. You can:
- Export all your email signature & autoresponder rules at once by clicking the options (…) button and selecting Export all rules (Fig. 1.).

- Select the rules you want to export and click the Export / Export selected button above the rule list (Fig. 2.).

Next, you will be asked to provide a password that will be required to import your rules later. The password must meet the complexity requirements shown on the screen (Fig. 3.). Once you click EXPORT, the selected rules will be compressed to a single .c2ex file and saved to your default downloads folder.
Warning
You are responsible for remembering or securely storing your password. We will not be able to help you restore your rules if you forget the password.

Import rules
You can import previously exported rules to the original Microsoft 365 tenant (from which they were exported) or to another tenant registered with CodeTwo. The rule(s) will be imported as unpublished so that your current rules setup is not affected.
To start the import process, sign in to the Signatures app, click the options (…) button and select Import rule(s) (Fig. 4.).

In the pane that opens, select the .c2ex file with your exported rules and provide the password set for the file. If the file contains multiple rules, they will all be imported at once. Click IMPORT to proceed (Fig. 5.).
The maximum size for a .c2ex file that can be imported is 100 MB.
If you forgot or lost your password, you need to export your rules again. We can't recover or reset the password for an export file.

Once the rules are imported, click FINISH. All imported rules will have the - imported phrase added at the end of their names, and will end up at the bottom of their respective rule list.
You can also import rules that are currently disabled for your tenant in CodeTwo. For example, even if you use the Outlook signature mode, both cloud signature rules and autoresponder rules will be imported if included in the export file.
Exporting and importing rules between different tenants
When importing rules from a different Microsoft 365 tenant, you will be notified if there's anything you need to address in your imported rules (Fig. 6.). Usually, you need to pay special attention to:
- Email addresses of AD users and groups defined in rule conditions – these addresses might contain an SMTP domain of the original (source) tenant; also doublecheck if the specified users/groups exist in the new tenant.
- Placeholders included in email signature or auto-reply message templates – conditional placeholders, CodeTwo custom attributes and placeholders used in one-click surveys require additional setup to work in the new tenant.
