CodeTwo Exchange Rules Pro is designed for machines hosting Microsoft Exchange Server 2007, 2010, 2013 or 2016 responsible for processing mail in an organization.
If you are running Exchange 2013 SP1, please consult this KB article before installing the program.
The fundamental requirement for the program to work is that Exchange Rules Pro Service needs to be installed on each Microsoft Exchange Server machine equipped with Microsoft Exchange Hub Transport (Exchange 2007/2010) or with Mailbox role (Exchange 2013/2016).

If you are installing CodeTwo Exchange Rules Pro in a multi-server environment, you need to perform the installation of Exchange Rules Pro Service (set of components responsible for processing mail) individually on each server processing mail. Otherwise, not all message traffic will be processed by the program and your signature rules and associated actions will not be applied to all messages in your organization. Therefore, install the Service on:
- Each Exchange Server 2007 with the Hub Transport role
- Each Exchange Server 2010 with the Hub Transport role
- Each Exchange Server 2013 with the Mailbox role
- Each Exchange Server 2016 with the Mailbox role
To perform the installation, please follow the steps below.
If you are upgrading the program from either CodeTwo Exchange Rules Pro version 1.x or the CodeTwo Exchange Rules family of products, make sure to run the installer on each server equipped with the previous version of the software. Please refer to Upgrading from version 1.x to 2.x or Upgrading from the Exchange Rules family of products section to learn more.
Installation in hybrid environments is not any different from installation in standard Exchange on-premises environments. The software's Engine must be installed on the on-premises Exchange Server(s) with an appropriate role. The success of the deployment depends on how the hybrid itself is configured. The principle here is that inbound and outbound mail flow should always be routed through servers with CodeTwo software installed. Note that we do not recommend installing the Exchange Rules Pro Service on a shared or mapped disk or any other disk that can be unmounted. The service needs to be active always, because it takes part in the email flow on your Exchange server. That is why it should be installed on a local drive. Furthermore, you cannot install the program using GPO. The installation has to be performed manually on each machine.
The installation of the software is simple and takes up to 60 seconds. After the installation wizard starts, all you need to do is accept the license agreement (Fig. 1.)

Next, you will be asked to specify the location where the program will be installed. By default, the program is installed to C:\Program Files\CodeTwo\CodeTwo Exchange Rules Pro, however it may be changed if necessary (Fig. 2.).

Please note that you must install the program on the local drive.
Once the wizard is initiated, it copies data files to your system and installs any required components. Depending on your environment, the installation of .NET 3.5 or .NET 4.0 (or higher) might be required.
In the next step you will have to decide which components of the program will be installed (Fig. 3.).

By default, if the installation is performed on a server with the Hub Transport or Mailbox role (depending on the server's version), both the Exchange Rules Pro Administration Panel and Exchange Rules Pro Service are set (marked) to be installed, whereas in the case of a desktop installation, only the Exchange Rules Pro Administration Panel is selected in the installer.
Note that you need to install Exchange Rules Pro Service on each server equipped with the role responsible for processing mail. On the other hand, the installation of the Administration Panel can be performed on any machine within your environment, including servers and desktop clients. Check the recommended server and desktop installation practices
You may install, repair and uninstall the program and its components at any time via the Control Panel. Just open it up, go to Programs and choose Programs and Features. Right-click CodeTwo Exchange Rules Pro and select Change from the context menu. The first screen of the installation wizard will open and once you hit Next the program's setup window will appear (Fig. 4.) where you will be able to install, repair or remove the whole installation.

Once the installation is finished, CodeTwo Exchange Rules Pro starts automatically and displays the Quick Tour slides showing the main features of the program (Fig. 5.).

Note that straight after the installation, the Administration Panel automatically tries to connect to the Exchange Rules Service. However, in specific multi-server and multi-domain environments with many instances of CodeTwo Exchange Rules Pro, Administration Panels may not be able to properly connect to the Service, which results in the following error (Fig. 6.):

This error is likely to appear if the Administration Panel is installed on a machine from a sub-domain and tries to connect to the Service hosted on a machine from a primary domain. To resolve this issue, you need to configure the Service connection manually. Click Configure within the connection error notification. In the resulting window (Connection tab in Settings) mark the Connect to Exchange Rules Service hosted on this Exchange Server radio button. Next, enter the name or the IP address of the server hosting the Exchange Rules Service (Fig. 7.) and click OK. Finally, restart the Administration Panel. The connection should be established.

Here, you can select email addresses of users (specific email address, AD user, AD group) who will receive important information concerning the program's licensing:
- information on the licenses used once they reach 95% of the whole pool,
- information once the license limit has been reached,
- information on the days left for the trial version to expire (7, 3 and 1 day prior to the trial period expiration),
- information once the trial version expires (on the very day, 3, 10 and 17 days after the trial period expiration and, later on, once a month).
You may also choose which particular mailbox (the Administrator one is selected by default) should be used in order to send these messages. After initial configuration, the critical notifications' recipients as well as the sender's mailbox may be adjusted at any point via the Help's context menu located within the Administration Panel's ribbon (Fig. 9.).

After the installation, each Active Directory user operating the Administration Panel of the program will have full access rights to manage signature rules. That is why we strongly recommend configuring the access rights straight after the initial installation before moving to other configuration steps.
Before you move on with the upgrade, learn more about the architecture of the program as the installation of its components will have a direct impact on the software's operation.

The conversion of settings is supported only from version 18.104.22.168 or newer. If you are upgrading from an older release of CodeTwo Exchange Rules Pro, please consult with CodeTwo Customer Support first.
To upgrade CodeTwo Exchange Rules Pro from version 1.x, please follow the steps below:
- Purchase the upgrade license pack first with the number of licenses equivalent to the ones you already have.
- Export your settings and store them locally.
- Run the setup of CodeTwo Exchange Rules Pro 2.x and install Exchange Rules Pro Service on top of the previous version. Furthermore, install Administration Panel on any machine within your domain.
- Once the installation is complete, open the Settings Importer tool and follow the wizard to convert and import settings from the previous version of the program. Settings Importer can be opened either via Import/Export button from Administration Panel or from the list of programs.
Import settings only on the first upgraded or new instance of the program within your multi-server environment. Thanks to the real-time replication of settings, they will be propagated on other instances of the program once they are installed and opened. Therefore, if you run the Importer and import settings on other machines equipped with the program, you will end up with duplicated rules.
- Note that after the upgrade the program will work for 30 days as a fully functional trial. Therefore, please activate it on each server equipped with Exchange Rules Pro Service before the end of this period, otherwise it will cease to work and no rules will be processed.
If you have more than one server processing mail within your organization equipped with the previous version of CodeTwo Exchange Rules Pro, you need to follow the upgrade steps above on each server the program was installed on (you may start from point 2 once you purchase the license). Otherwise, not all the mailboxes will be processed by the program after the upgrade. To get more info on how to install the program in a multi-server environment, please refer to this information.
Before you move on with the migration, learn more about the new architecture of the program because the installation of its components will have a direct impact on the software's operation.

The conversion of settings is supported only in the following or newer versions of CodeTwo Exchange Rules: 2007 - 22.214.171.124, 2010 - 126.96.36.199, 2013 - 188.8.131.52. If you are migrating from an older release of the software, including CodeTwo Exchange Rules 2003, please consult with CodeTwo Customer Support first.
To migrate to CodeTwo Exchange Rules Pro from a product from the CodeTwo Exchange Rules family, follow the steps below:
- Purchase the migration license pack first with the number of licenses equivalent to the ones that you already have.
- Export settings from the previous version of the Exchange Rules family and store it locally on the machine where Exchange Rules Pro will be installed.
- Uninstall completely any previous version of the Exchange Rules family from each machine equipped with the program.
Do not install the Pro version directly on top of your existing CodeTwo Exchange Rules installation.
- Run the setup of CodeTwo Exchange Rules Pro 2.x and install the Exchange Rules Pro Service on each machine with the Hub Transport or Mailbox role. Furthermore, install Administration Panel on any machine within your domain.
- Once the installation is completed, the next step is to import your rules definitions.
The settings file generated by CodeTwo Exchange Rules Family of versions prior to 2007 4.x, 2010 3.x and 2013 2.x needs to be opened up by the Settings Importer tool which is available either via the Import / Export button from the Administration Panel or the list of programs. Just follow the wizard to convert and import settings from the previous version of the program.
On the other hand, if you have a settings file generated by a newer release of the CodeTwo Exchange Rules family, import it using the Import settings... command available under the Import / Export button in the Administration Panel. Finally, restart the whole application to apply the changes.
Import settings only on the first updated or new instance of the program within your multi-server environment. Thanks to the real-time replication of settings, they will be propagated on other instances of the program once they are installed and opened. Therefore, if you run the Importer and import settings on other machines equipped with the program, you will end up with duplicated rules.
- Activate the program on the server equipped with Exchange Rules Pro Service with the license key provided. Otherwise, the program will work for 30 days as a fully functional trial.
