Use the Manage Signatures App to create signature rules (server-side and client-side) and design your email signature templates.
Rules can be configured to apply to all users, or you can limit the scope of senders by using various criteria.
Use the Azure AD field filter if you want a signature to be added to an email only if the sender matches very specific criteria.
You can also choose to apply your server-side signature only when emails are sent to specific recipients.
In addition, server-side email signatures can be added to all outgoing emails or only to internal or external messages.
The program lets you configure server-side rules that are triggered or suppressed by specific keywords or phrases.
On the Design tab, you can access the signature template editor to choose one of the predefined signatures or to create your own template.
On the Design tab, you can also choose how server-side signatures will be added to an email conversation, e.g. different signatures are added to new emails and different to all subsequent messages.
In the Signature template library, you can choose a template from a variety of pre-designed signature layouts.
In the Quick customization window, you can easily add or remove certain elements of the signature block before opening it in the Signature template editor.
CodeTwo Email Signatures for Office 365 comes with a WYSIWYG signature template editor that lets you easily design email signature templates in HTML, and then convert them to the RTF and plain text formats.
On the Options tab of a server-side signature rule, you can define whether the next rule on the list should be processed if a particular rule is (or is not) applied. Here, you can also schedule the activity time for each rule individually.
In the case of client-side signature rules, the Options tab allows you to define which signature should be set as default for new messages and replies/forwards. In addition, you can choose to delete all user-defined signatures from Outlook.
When you register your tenant with CodeTwo services, you can choose one of eight service geolocations.
You can also select 1 of 3 signature modes in which the program will operate: server-side, client-side and combo.
For each tenant, you can enable the signatures preview add-in, which allows end users to see their server-side signatures while composing emails.
Once the signature preview feature is on, you can see your server-side signatures in real time in Outlook, Outlook on the web (OWA) and Outlook for Mac.
Server-side signatures are added to messages while they travel through Microsoft's Azure cloud, regardless of what device they were sent from or to.
In client-side mode, signatures are made available to users in Outlook via a dedicated add-in. Email signatures are inserted to emails automatically by the program but can be manually selected by users as well.
The program makes the process of managing email branding a breeze. Thanks to the possibilities it gives, you can make emails look professional and clean in all email clients.
You can choose users or teams that have access to the Manage Signatures App. As a result, the marketing team can design email signatures and manage email campaigns, while the IT department handles administrative tasks.
