CodeTwo Signatures Add-in for Outlook - manual installation

If your organization uses CodeTwo Email Signatures 365 and has configured the software to add email signatures to your Outlook, you only need to install the CodeTwo Signatures Add-in for Outlook and the software will do the rest for you. Follow the instructions below to get automatic signatures in Outlook on your Windows-based computer (a new add-in that works with OWA and Outlook desktop is now available).

Before you install & hints for administrators

The add-in will not add any signatures to Outlook unless an administrator in your organization has set them up in the first place.

To keep synchronizing signatures, the add-in will automatically turn off the Roaming Signatures (cloud signatures) feature in Outlook when the feature is released by Microsoft. Learn more

Hints for administrators: See this article to learn how to deploy the add-in centrally to all or selected users. For the add-in to work, the CodeTwo software needs to work in Outlook (client-side) or combo mode (learn more about signature modes). You also need to prepare an email signature template and assign users who should get it. To do so, create and set up an Outlook (client-side) signature rule by following our guide.

If you have already deployed the modern CodeTwo Signatures Web Add-in for Outlook for Windows and OWA to your users, you need to uninstall it first before deploying the COM Add-in, as you can only use either of them. Otherwise, the add-ins can conflict with each other.

Installing the add-in

  1. Download CodeTwo Signatures Add-in for Outlook by using this link.
  2. Launch the downloaded setup file and click Install (Fig. 1.). The add-in is a ClickOnce application and doesn’t require local admin rights to be installed.

  1. Click OK after the installation is finished.

The add-in is installed for the current user profile only. If a machine is shared between users, each of them will need to install the add-in separately.

  1. Launch your Outlook to see the new add-in. If Outlook was already open during the installation, you need to restart it to apply the changes.
  2. The add-in is now available in your Outlook and opens in the right pane. (Fig. 2.). You can change its width to resize it. Use a dedicated button on the ribbon to hide/show the add-in pane.

  1. In the add-in pane, click Sign in. A Microsoft sign-in screen appears. Sign in using your Microsoft 365 work account credentials and accept the permissions to synchronize the add-in with your Outlook and get automatic signatures.
  2. When you're signed in, the add-in pane shows signatures that are available for you. Depending on your organization's settings, these signatures can be added automatically (when you compose a new message or reply to/forward a message) or you can add them yourself in compose mode in Outlook, just as you normally add Outlook signatures: go to the Message tab, click Signature on the ribbon and choose any signature that is available to you. Updating the add-in

If the CodeTwo add-in has been installed manually by users on their machines (as described earlier), it always updates to the newest version automatically. The process is as follows:

  1. When you start Outlook, the Launching Application window (Fig. 3.) appears and checks if the new version is available.

  1. If the new version is available, the download starts automatically (Fig. 4.). (Note: You can cancel the download at this point, but the process will repeat each time you start Outlook. We always recommend updating the add-in as soon as possible.).

  1. Once the download process is finished, you need to close Outlook to complete the update process. Click Yes in the pop-up window (Fig. 5.) to automatically restart Outlook.

  1. Once the update is complete, the update confirmation window appears (Fig. 6.) and Outlook starts.
