  1. Why do I need this product?

    Leaving it up to individual users to create automatic replies that contain all the necessary information and look remotely similar can lead to mixed results. Server level auto-replies are slightly better, but not a perfect solution, because they can contain only general information and no personal details.

    CodeTwo Out of Office Manager lets you create uniform automatic replies containing personal information pulled from Active Directory and submit the automatic replies to as many mailboxes in the organization as you need.

    It can also come in handy when an Out of Office period needs to be extended or modified. Or when you simply want find out who is out of the office at a given time.

  2. What are the system requirements?

    CodeTwo Out of Office Manager is compatible with Microsoft Exchange Server 2016, 2013, 2010 and Office 365.

    It can be installed on the following operating systems:

    • Microsoft Windows 10* / 8.1 / 8 / 7 / Vista / XP (SP3)
    • Microsoft Windows Server 2012 / 2008
    • Small Business Server 2011

    * In case the program does not work after upgrading to Windows 10 from Windows 7 or 8.1 please reinstall it.

  3. How is the product licensed?

    CodeTwo Out of Office Manager licensing is based on the number of active users. This means that CALs are assigned only to mailboxes for which you create Out of Office items.

  4. Do I have to grant the user who will manage the program the Administrator’s permissions?

    No, you do not. Giving the user the impersonation rights on other users’ mailboxes will suffice. You can do this in the program, using the built-in Set permissions button (more in this article) or via Exchange Powershell using the following command:

    New-ManagementRoleAssignment –Name:impersonationAssignmentName 
    –Role:ApplicationImpersonation –User:[user name]
  5. Will I be able to send multiple OOFs per sender?

    Yes, you will. This is possible thanks to the reset the out of office sender list capablity.

  6. How much does it cost?

  8. Do I have to install CodeTwo Out Of Office Manager on my server?

    No, you do not. You can install it on any machine within your domain as long as it runs under an account granted the impersonation right on users’ mailboxes.

    To grant this right you can either use the built-in Set permissions button (more in this article) or do it via Exchange PowerShell using the following command:

  9. Where does CodeTwo Out of Office Manager pull users’ personal details from?

    Users’ personal details are pulled from Active Directory.

  10. Can I insert images into Out of Office items?

    No, you cannot. Images are not supported in Exchange Out of Office items.

  12. Help! I have Office 365 and I am receiving an error when trying to set permissions.

    This may happen if you are using Office 365 plans P1 and Small Business Premium. These plans have the rights by default so there is no need to set them again.

  13. Which policy prevails when many are created for a mailbox for the same period?

    The policy added most recently prevails.

  14. Can I use the application to view and modify the Automatic Replies users created in their Outlooks and OWA?

    Yes, you can.

  15. How can I tell which items were created by the admin and which by users?

    Items created by the Administrator in CodeTwo Out of Office Manager are displayed in red (example: OOOM FAQ ikona), while items created by users in Outlooks and OWA are displayed in blue (example: OOOM FAQ ikona).

  16. What happens when users modify automatic replies created for them by the administrator?

    Any changes introduced on the users' end (in Outlook or OWA) are reversed after a maximum of 15 minutes to reflect the Out of Office design present in the CodeTwo Out of Office Manager Item Editor.

  17. If one sender sends multiple emails to a mailbox in my organization, will they get multiple auto-replies or only one?

    They will get only one automatic reply to the first email received. Subsequent emails will not generate auto-responses.

    This operation logic is dictated by the fact that CodeTwo Out of Office Manager utilizes the standard Exchange Server Automatic Reply/Out of Office mechanic.

  18. Can CodeTwo Out of Office Manager display items in day or week view?

    Not yet. We are working on it, and plan to add this in future releases.

  19. Does it have a built-in search tool? We have multiple mailboxes and I cannot afford to sift through all of them manually.
