This software has been discontinued. If you are looking for a way to manage out of office messages for all users in your Exchange organization, try out the Auto respond feature in CodeTwo Exchange Rules Pro.

Overview

CodeTwo Out Of Office Manager lets you centrally manage automatic replies for every member of your organization. It works equally well with on-premises Exchange servers and Office 365.

The program provides all the features necessary to create and manage the out of office messages sent inside and outside your organization.

The Administration Panel gives you full control over users' out of office messages. You can create professional auto-replies in the built-in OOF Message Template Editor or make use of the Templates library that contains several ready-made templates. You can also centrally define time frames for different out of office messages and see them all on the calendar in the Administration Panel.

Who is the program for?

We developed CodeTwo Out of Office Manager to fill the gap left by Microsoft Exchange, Office 365 and Outlook, none of which offers central management of out of office messages. Our software allows administrators to set auto-replies for all members of the organization, plan the upcoming automatic replies for months ahead and keep track of all the absences (past and future) in one place.

How does the program work?

Once installed, CodeTwo Out of Office Manager works as a service that takes control over the auto-replies in your organization. The program lets you set up and store multiple auto-replies for the same mailbox. Since auto-replies are updated on the email client according to the schedule set up in the program, the user can see only the current auto-reply. If the user decides to modify it, the refreshing mechanism of CodeTwo Out of Office Manager will overwrite that modification with the auto-reply set up in the program. The user has no access to future and past auto-replies.

However, if no auto-reply is scheduled in CodeTwo Out of Office Manager for any given date, the user can set it up by. Such auto-reply will be visible in the Administration Panel and you can overwrite it, if necessary.

Key features

  • Support for on-premises Exchange and Office 365 including:

    • Exchange 2016
    • Exchange 2013
    • Exchange 2010
    • All plans of Office 365 with Exchange Online
  • Sending out of office messages multiple times to the same sender

The program lets you choose whether the out of office messages will be sent to a particular sender just once or every time the sender sends a message during the recipient’s absence.

  • Central management

Unlike native Exchange components, CodeTwo Out of Office Manager lets you centrally manage auto-replies from the Administration Panel. Not only can you create new auto-replies, but you can also manage those created by users. As both types of auto-replies are displayed in the program’s calendar, you can view all the recent absences and track the absence history.

CodeTwo Out of Office Manager can be installed on any workstation within your domain or on a PC that has internet access. This enables you to delegate control over the auto-replies in your organization to an HR Manager, a Team Leader or anyone authorized to handle absences.
  • Auto-replies for multiple users

With CodeTwo Out of Office Manager, you can define internal and external out of office message templates for individuals and groups. Additionally, you can set recurrence to items, if you're sure about future absences.
