How to disable adding signatures created in Outlook for Exchange users

After installing CodeTwo Exchange Rules you may need to disable adding to messages previously used personal signatures that were created in Outlook. If you are not able to get all users to manually remove their Outlook's signatures, some users may end up having two different signatures: one from Outlook and the second added by CodeTwo Exchange Rules.

To avoid this problem, you may use Group Policy Object, a tool for the Exchange server.

If you don't have the ADM file dedicated to Outlook version used by the users, you should download one; go here for more details.

After placing the ADM file, open Active Directory Users and Computers, right-click on domain, choose Properties, Group Policy tab, Edit button. A new window will display; spread Administrative Templates. If the subfolder Microsoft Office Outlook ... does not exist, right click on Administrative Templates, choose Add/Remove Templates, then click Add button and add the downloaded file.

You need to find the object disabling Outlook's signatures. Fig. 1 and Fig. 2 shows the path to the tool disabling signatures for Outlook 2003 and Outlook 2007.

To disable adding Outlook's signatures to messages, set the tools marked in pictures above to Enabled, additionally for Outlook 2003 check the disabling box (Disable signatures for new messages  / Disable signatures for replies and forwards), as shown in Fig. 3.
