Overview

CodeTwo Email Signatures On-prem is the ultimate mail processing solution for Microsoft Exchange, designed to provide centralized email management in Exchange Server Subscription Edition (SE). Unlike the standard Mailbox role in native Exchange, the program offers additional features that go beyond traditional email rule mechanisms, while also simplifying rule creation.

Who is the program for?

The program is designed to simplify email rule management for administrators across the organization. With just a few clicks, admins can create complex rules for an unlimited number of users and monitor the performance of all instances of the program from a single location. The wide range of features offers virtually unlimited possibilities, meeting even the most demanding requirements of global enterprises.

How does the program work?

During installation, the setup installs required services that will later be used to process email rules. One of the two key components is the Email Signatures On-prem Services, which are directly responsible for mail processing. The second component is the Administration Panel, the program's central management console where all settings and rules are configured.

Key features

What makes CodeTwo Email Signatures On-prem exceptional? Below are some of the standout features of the program:

  • Centralized desktop and remote management

No matter where you are, you can access the Administration Panel from any machine where it’s installed and manage organization-wide rules.
  • Real-time settings replication across multi-server environments

In environments with multiple Exchange servers (Mailbox role), all settings defined in the program are continuously synchronized to ensure smooth and uninterrupted mail flow.
  • Wide variety of actions and conditions, including:

    • Automatic signatures and disclaimers

The program lets you create automatic, professionally looking correspondence with personalized signatures and legal disclaimers that meet regulatory standards regarding electronic communication.
    • Marketing email campaigns

You can boost your promotional campaigns with banners and marketing content added to selected emails.
    • Attachment control

Create rules that automatically take control over the attachments included in emails: strip, compress, or archive large files to protect your storage against unwanted growth or add attachments to predefined outgoing emails.
    • Email filtering and data protection

Use the program to filter all sensitive content included in the mail within your organization and prevent such data from leaking by masking, replacing, or removing predefined keywords from messages.
    • Smart automatic replies and centralized email forwarding

You can configure the program to send autoreplies for selected incoming messages and also automatically forward all emails that meet specified criteria to any email address.

  • Unsubscribe mechanism

The program includes an unsubscribe mechanism that lets you add disclaimers with an unsubscribe link to outgoing emails. When a recipient clicks the link, they are added to the built-in blacklist and automatically excluded from future mailings from your organization.
  • Secure message processing

The program can processes secure messages without compromising their encryption or digital signature integrity.

  • Rule scheduling

You can set up specific time frames and recurrence patterns for when rules should be active.
  • Support for email aliases

If your organization has users with multiple email aliases, you can set up different rules to apply depending on which alias an email was sent from.
  • Support for hybrid environments

The program provides support for certain hybrid environments, depending on the chosen mail flow configuration.
  • Support for multi-tenant environments (hosted Exchange)

Use the Tenant configurator to create separate profiles for multiple tenants (suborganizations) and manage the program settings for each tenant individually.
  • Server performance monitoring

Thanks to the Server Monitor, you can view how many emails each server processes, how long it takes to process them, and access diagnostic files if any issues occur.
  • Sent Items Update

If you enable the Sent Items Update feature, your users will be able to see how their emails looked after being processed by the program (for example, users can view their email signatures).
  • Rules tester

This feature lets you check how a message will look after processing, without actually sending it externally.
  • Diagnostic files

The program collects diagnostic data that can be reviewed if any problems occur during the mail flow process. The log files are divided into:

    • CodeTwo Mail Processor log files
    • Sent Items Update log files
