Different Exchange Signatures for Different Users

CodeTwo Exchange Rules 2007 lets you insert different footers depending on who is sending a message and to whom.

It is possible to use the following senders and recipient's criteria to define the signature or disclaimer to be used in a message:

  • email address of the sender and/or recipient
  • domain the sender and/or recipient belongs to
  • if the sender or recipient's address is internal (i.e. belonging to Exchange organization) or external
  • which Organizational Unit the sender or recipient belongs to
  • which Active Directory Group the sender or recipient belongs to
  • if the sender or recipient is a particular user in Active Directory
  • if the sender or recipient have particular entries in Active Directory property fields - this enables differentiating footers based on the department or country they work in

Using the criteria you can precisely control the use of footers depending on who is sending a message and to whom. A different footer can be used for internal communication between employees, and a different one when a message is sent outside the company. Also, a separate footer can be designed for each department, or on the basis of the positions the employees hold. With similar precision, you can define a specific footer if a message is sent to one of your business partners - the footer may be different for each.
