Manage signature templates

CodeTwo Signature Template Editor comes with a template library to help you create your signatures quicker based on predefined templates or custom templates you created. The content of the template library is synchronized so that it is available to any authorized user who can access the CodeTwo signature software in your organization. For example, if you use CodeTwo Email Signatures for Office 365, the templates are stored per-tenant in Microsoft Azure. This means that the template library related to your Office 365 tenant is available on any machine on which you install the Manage Signatures App and log in as an authorized user belonging to this tenant.

The signature template editor and library described here are only available in CodeTwo Email Signatures for Office 365 at the moment. If you use software from the CodeTwo Exchange Rules family, see the manual for the previous version.

Opening the template library

The signature template library can be accessed from the signature template editor. To open the editor, launch your CodeTwo software and edit a signature in one of your signature rules. In the editor, click Open on the Main tab to launch the library, as shown in Fig. 1. (if your signature template is empty, the template library opens automatically with the editor).

Selecting a signature template

The signature template library (Fig. 2.) contains predefined templates arranged into several categories and your own templates if you created them (they always belong to the my template category).

Click any template to quickly customize it before it is loaded into the signature template editor (Fig. 3.). The Preview tab shows the template with sample user data and the Template tab shows how the template is composed (e.g. which placeholders it contains). Click Open to open the template in the editor. See our Quick guide to learn how to work with signature templates.

Managing signature templates

In the signature template editor, you can use the options in the Template group (Fig. 4.) to save the template you are currently working on. You can add it to the template library (Editor 2 - save as template button) or save it locally as a template file (Editor 2 - save template as file button). You can also load a template from the library (Editor 2 - open template library button) or from a template file (Editor 2 - load template file button). Click Apply & Close if you want to apply the current template to the signature rule in your CodeTwo software.

Deleting a signature template

If necessary, you can delete the templates you created and saved in the template library. To do so, you need to open the template library (Fig. 2.), right-click any custom template and choose Delete from the shortcut menu. Predefined templates cannot be removed.
