The program consists of two components: Exchange Rules Pro Service (installed on the server side) and Exchange Rules Pro Administration Panel (installed on any workstation in the domain or outside of it).
The main window of the Administration Panel contains the navigation pane (top menu), the list of rules and rules properties. Every option is easily accessible and stay always at hand.
Creating a new rule is very simple. Pressing the Add… button will give you a few possibilities. You can either begin creating your own rule from scratch or use one of the predefined shortcuts to popular rule types.
To manage your rules more efficiently, you can create and assign a color category to every rule, e.g. with red category your mark all rules related to the marketing department.
Each rule consists of Conditions, Exceptions, Actions and Options. Within one policy actions can be triggered by various conditions that are defined in the conditions builder. The endless number of possibilities during rules creation makes CodeTwo Exchange Rules Pro a versatile and powerful administration tool.
The conditions builder lets you create clauses consisting of logical operators, various message, sender’s and recipient’s attributes, as well as dozens of other criteria. Conditions triggering the rule can be very simple, or contain a number of advanced clauses that exactly meet the needs of a given situation.
The Exceptions tab lets you define criteria that prevent the program from applying a rule. It works analogically to the Conditions builder.
The Options tab lets you define some general settings for each rule, e.g. whether to go to another rule after the given one is processed. You can also set time ranges for your policies here.
The heart of the program is the Actions tab. One of the most popular features used by Exchange Server administrators in CodeTwo Exchange Rules Pro is the Insert signature action. The program features plenty of facilities which make the management of central signatures and disclaimers on Exchange 2019 and 2016 easy as pie.
The template editor allows you to design email signatures and disclaimers that can appear anywhere in the message body (header, footer, side panes) and can contain dynamic content, such as Active Directory properties, counters, paths to shared folders etc. You can edit templates in HTML, RTF and plain text formats.
The template editor lets you also easily insert graphics into signature, disclaimer and auto-reply templates. The picture can be anything from logos to social icons. It is even possible to automatically add individual user photos to every outgoing email by using the dynamic {Photo} placeholder. What’s more, each graphic will be inserted inline into the message body. Not as attachment!
The program also features a rich library of preloaded, ready-to-go signature and disclaimer templates prepared by our graphic designers. The templates can be further customized to serve your needs, and you can use them freely in your signatures and disclaimers designs whenever you want.
This is an example of an advanced message design that uses a wide range of possibilities given by CodeTwo Exchange Rules Pro. Such rich-formatted message composition can support your email marketing campaigns by turning your corporate emails almost into real landing pages with graphics, social widgets and call-to-action buttons placed anywhere you want in the message body.
CodeTwo Exchange Rules Pro also offers advanced auto-responders managed on the server side. What’s special about these autoreplies is that they can be triggered by various conditions (not only the recipient’s address) and contain number of features that are not available in traditional out of office emails, e.g. automatic attachments, modified subjects and additional recipients in CC and BCC fields.
The auto-responder feature contains also a Loop protector, to prevent so called ‘message wars’ between servers.
The program also features an advanced DLP filter that can be used to protect sensitive data in your organization. It is based on a number of dictionaries containing phrases with assigned scores.
Every dictionary can be modified by adjusting the score value of a given phrase or adding completely new sets of phrases together with weights.
Another great feature of CodeTwo Exchange Rules Pro is the attachment control. Having installed the program on your servers, you can set an email rule verifying the attachments sent and received by users. Attachments of a specific type or size can be either removed, zipped or saved to a selected folder anywhere in your network.
The Sent Items Update Service makes sure users will see their automatic email signatures in the Sent Items folder of their mail clients. This feature will not only make users feel more confident, but also helps the company fulfill legal regulations.
Once the Sent Items Update service has been configured, you can manage it under Sent Items Update tab in the program settings.
A careful IT administrator always tests settings before they go live. The Rules Tester that’s incorporated in CodeTwo Exchange Rules Pro will help you check if rules you created work the way you want, before you submit them to servers.
The settings window lets you also set logon options for this particular installation of the Administration panel. You either use the domain Windows authentication, or create an external account for external users.
The Administration Panel can be also used by people from outside of the IT department. For instance, the IT administrator can give access rights to signature rules to the Marketing team, so that they can edit the signature templates and email marketing banners all by themselves without accessing any other resources on the server.
One of the most important features introduced in CodeTwo Exchange Rules Pro is support for multi-tenant environments. The built-in Tenant wizard lets you define LDAP properties that will be used by the program to distribute rules to the correct tenants.
Once the tenant properties are configured in the Tenant configurator, the administrator can choose to which environment the Administration panel should connect. Rules he or she creates in such view will only apply to users that have the correct value filled out in the previously defined LDAP property.
