Watch our video tutorials for CodeTwo Exchange Rules to learn how to use the program, create email signature rules and design signature templates.
Browse through this collection of screenshots to take a closer look at CodeTwo Exchange Rules interface and see how the program helps you centrally manage email signatures and legal disclaimers in your Exchange Server organization.
This is the main window of the program. Here you can, i.e. create new rules, enable or disable them or you can check when the rule was created or modified and who made that change.
Under the General tab, you can also manage color categories and assign them to certain rules. For example, a purple category will be assigned to all rules related to the Sales department.
When you have dozens of rules and need to find one quickly, you can use a built-in search box where you can type the rule name, or you can filter the list of rules by state (enabled/disabled) or category.
The conditions builder lets you define criteria that will launch your rule. They can be based on Active Directory information, message direction or other properties.
The program will also let you create user-controlled email signatures. For instance, users can hold the program back from inserting a signature when a certain phrase is found in the message.
Under the Actions tab, you can specify what the program should do (e.g. insert the signature) when an email message meets certain conditions. Here you can also launch the Template Editor to create or modify your email signature.
The signature editor lets you design a full message composition. You can add your template elements below the message, above it, or even in its side panes.
The program can handle multiple email signature rules at a time. The administrator can define how the rules are supposed to be processed.
Scheduling the period of time when the rule is supposed to work is easy. These options can be found under the Options tab in the Time range sections.
Before you hit the “Submit changes” button you can verify if your email signature rules work the way you wanted by using the Rules Tester. You can run your rule tests freely and be sure your test messages won’t bother real users.
The program has been prepared to work in multi-server environments. Changes applied in the administration panel are automatically propagated to all Exchange Rules services running on other servers.
Another great thing about the program is that it can be used by people from outside the IT department. For example, marketing guys can be given access to marketing rules at the same time having no access to other rules or program settings.
If you don’t have time to design your own signature templates from scratch you can use the ones we prepared for you. The template library is at your disposal. What's more you can create your own templates and save them to the Template Library for future use.
Although the signatures can be managed for the entire organization from one place, they contain users’ personalized data that is pulled from Active Directory.
