Code Two Exchage Rules - an ideal solution for businesses
CodeTwo Exchange Rules provides an ideal solution for businesses using Microsoft Exchange 2000/2003/2007/2010 or Small Business Server (SBS) as an email server.

In light of the legal requirements imposed on businesses, it has become mandatory for all outgoing email to contain contact and identification information.

Our software provides a very convenient solution in centralizing the company's disclaimer or individual's signature as required to all email, without troubling the users on their part.

With CodeTwo Exchange Rules you can:

How does it work?

CodeTwo Exchange Rules The program lets the administrator define rules to prevent end-users from tampering with the contents of the footers added to messages.

Messages can receive various disclaimers and signatures depending on the sender and recipients.

The senders and recipients' scopes can be defined by providing full or partial SMTP addresses, as well as the Active Directory groups, users, containers, or attributes. You can configure the rule to add footers directly below the response text or at the very end of the message.

You can set the rule to add footers multiple times to the same message every time it travels through the server or once only.

Also it is possible to define phrases suppressing disclaimers so that users can turn them off from their client computers when needed. One message can receive more than one footer, depending on the settings.

Signatures created with CodeTwo Exchange Rules can include personal information about the sender retrieved from Active Directory, such as first name, last name, company, department, phone numbers, postal address, e-mail.

Create Centralized Signatures for all users within minutes

CodeTwo Exchange Rules lets you add company footers, legal disclaimers and personal signatures directly on Exchange Server 2000/2003/2007/2010.

Footers are added to selected messages sent by the employees in your company. You can have multiple footers and create separate conditions for each.

CodeTwo Exchange Rules enables attaching several footers to one message, e.g. personal signature of the sender plus a general company disclaimer.

Different footers and signatures for different senders

You can have different footers and signatures depending on the people involved in the correspondence.

An easy-to-use wizard will guide you through rule creation and add advanced scopes of senders whose messages will contain a given signature.

The senders can be defined by providing their SMTP addresses, membership to Active Directory containers or groups, and/or based on specific values of their Active Directory attributes.

Insert images, company logos, employee photos into signatures

Use CodeTwo Exchange Rules to insert graphics into signatures in email messages - add a company logo, handwritten user signature, or insert ad banners to aid your marketing campaigns. The images can change dynamically depending on the message sender, just as the data that is pulled from Active Directory. This capability will let you insert small photos of users to their signatures. Such a feature in your signature can be accomplished by the administrator within minutes.

View your footer in sent items

After sending the message, your users can see the signatures/disclaimers in their sent items. They don't need to worry whether an email they've just sent had a correct, well formatted disclaimer. Additionally, this feature helps you to keep your email archive in compliance with legal regulations. CodeTwo Exchange Rules is one of very few solutions in the world with viewable footers in sent items (feature available in CodeTwo Exchange Rules 2007/2010).

User-Friendly signature editor

Use the built-in signature editor to create footer templates both in HTML and plain text format. Create professional-looking HTML footers with no practical knowledge of HTML language.

You can add Active Directory placeholders to footer templates, which are dynamically replaced with corresponding user data while the message is sent, e.g. full name, phone no., company name, etc.

Placeholders let you create personalized signatures for all employees while making sure all signatures are unified in terms of style and format.

Tools for previewing footers and testing rules

With the footer previewing and rule testing tools you will not get confused as to which rules apply to certain senders/recipients and which footers will be added to their messages, even in a large Exchange organization.

These features will let you see as early as the stage of creating footers how the final messages will look like with the signatures in place.
