How to enable synchronization of public folders with PDA devices

This article explains how to synchronize public folders with a mobile device using a manual synchronization of folders in Microsoft Outlook. If you are interested in automatic synchronization of folders directly on Exchange server, click here to learn more about CodeTwo Exchange Sync.

PDA devices will typically synchronize with default (personal) Outlook folders. If a user wants to sync a PDA device (SmartPhone, Blackberry) with the public folders, one of the following methods must be used:

  1. share a personal folder in public folders so that other users could edit it on their workstations and data was updated in real time. Later, the updated personal folder can be synced with the PDA device. To sync your PDA in this way:
    1. Share a personal folder for other users.
    2. Set appropriate access rights to this folder for other users.
    3. The other must first open your shared personal folder to be able to see and edit it.
    4. The changes made by other users to the shared personal folder will automatically propagate to the original personal folder and so it is ready for synchronization with the PDA device.
  2. Use a free application CodeTwo FolderSync Addin.This application enables synchronization of data from public folders with the PDA device. This functionality will let multiple users synchronize the same data with their PDAs.
    1. The program can be downloaded from here.
    2. Install the program and follow the instructions to synchronize data located in pairs of folders.
    3. When the program is run, the data from public folder is copied to a personal folder and is now ready to be synced with a PDA tool.

Remember that the synchronization with CodeTwo FolderSync Addin is not automatic. The synchronization must be initiated manually when we want the data to be updated.
