Rewrite sender's address

The Rewrite sender's address feature in CodeTwo Exchange Rules pro lets you:

Sometimes you may need to replace an original email sender with a different one to meet your business email flow requirements. Some departments need to work in a group mode vs. individual mode. In other words, each worker uses an individual email address like mark@domain.com, barbara@domain.com, john@domain.com (and so on) for internal correspondence, whereas a need may arise to conceal the original senders and replace their individual email addresses (by modifying the From field) with a general group address e.g. support@companyname.com for all outbound messages. There might be numerous reasons why some companies need to do that. For instance they may have a ticket model for support cases and receive inbound correspondence sent to support@companyname.com and process it in a separate email system.

Others might need to quickly create “Send as” rules so that your own email sent from your own email address is received as if it was sent from someone else's email account. I don't mean you want to impersonate Bill Gates and send a letter of recommendation to your boss saying that you are an IT talent even Microsoft gurus have noticed, and that you certainly need a huge pay rise. I mean people acting as PAs or secretaries in your company may need to send messages as if they were sent from their managers/bosses.

Even though it's possible to grand Sent As permissions on Exchange Management Console or Shell, this option is not easy to setup. It also takes a while to grand rights to individual addresses, and internet forums are flooded with desperate admins who can't set these permissions despite having read all KBs and instructions. All these difficulties stem form server and network architecture, current configuration and additional email software. If you succeed to set “Send as” rights, each end-user has to remember to manually choose a sender's address in a mail client before hitting a send button.

We had all of these problems in mind while creating the rewrite sender's address feature in CodeTwo Exchange Rules Pro. Regardless of your server configuration, it allows you to easily create email rules that modify sender's address when a message flies through Exchange Server. The entire process of creating a rewrite sender's address rule is divided into a few simple steps.

Download CodeTwo Exchange Rules Pro and install it on your server with Hub Transport Role.

Launch the administration panel of CodeTwo Exchange Rules Pro and create a new rule on the left side of the window. Name it whatever you like and move on to the Conditions tab on the right.

In the Conditions tab, choose what should activate the rule. It can be anything from selected senders or recipients, to message direction to even sensitive content or concrete keywords found in a message. In other words, you can initiate the rewrite sender's address rule not only if selected users send a message but also if other criteria is met.

Once you specify the conditions for this rule, you can click on the Actions tab and add a desired action to the list of actions. In this case you would need to choose Rewrite the sender's address. You can select either simple or advanced address change mode for this rule. The simple mode changes all predefined emails to one email address. Whereas the advanced mode lets you go into more detail and specify different rewrite addresses options for different users. And that is all you need to do to modify senders' addresses on Exchange.
