Company-wide email signatures in less than 5 minutes

When offered a choice between corporate email signatures designed by end users, or deployed centrally via Exchange’s Hub Transport rules, always go with the latter.

But if you want absolute central control over email signatures in your company, including the ability to define their positions in conversation chains, use embedded images and custom AD variables, have the footers appear in users’ Sent Items folder, and more, CodeTwo Exchange Rules Pro is your man.

Rules edition auditing feature

Rules edition auditing feature

If you are not the only person managing email signatures in your company, you may not be aware of the fact that the other person created a new rule or modified the existing one. To avoid such situations, the program tracks all changes made to rules and informs you who and when modified certain rules.

Search box and color categories

Search box and color categories

For better rules management, you can mark each rules with a color category, which help you organize the rules more efficiently. What’s more, if you created dozens of rules finding the specific one may be a bit troublesome and time consuming. CodeTwo Exchange Rules Pro helps to solve this inconvenience by providing a built-in search feature letting you quickly find the rule. You can also apply a search filter which limits the rules list view by the rule’s current state (enabled or disabled) or a color category.

Dynamic content

Dynamic content

When we say “personalized” it’s not a fancy way of telling you that you will have to sit there and type in all employees’ names and contact information. All you have to do is insert placeholders such as {FirstName}, {LastName}, {Phone}, {Mobile}, {Department}, etc. into your signature template, and CodeTwo Exchange Rules Pro will pull the information from your organization’s Active Directory database. This is actually a pretty basic feature, present already in Exchange 2010, 2013 and 2016 (though not Exchange 2007). However, CodeTwo Exchange Rules Pro also offers built-in WYSIWYG HTML editor and handy enhancements such as the Remove Text tag functionality, which automatically removes blank lines created when requested information is not present in users’ Active Directory entries, and the Add custom placeholder tool, which lets you use literally any existing Active Directory field.

WYSIWYG HTML editor

WYSIWYG HTML editor

Unless you are an HTML expert, the built-in WYSIWYG signature template editor will likely be a lifesaver. It has all the basic options (text and image formatting, hyperlinks, tables, etc.) that you need to create pretty much any type of composition – from a minimalistically elegant footnote with a disclaimer, to a visually stunning epic signature block that includes logos, tables, links, social media buttons and more.

And, just in case any of you are into playing around with HTML, we’ve also equipped the editor with an HTML source code view. Thanks to support for Active Directory and several other variables, the effects you can achieve using it far exceed these of a static HTML page editor.

Support for footers, headers and side banners

It lets you harvest the full potential of an often overlooked marketing channel, by putting the entire layout of your company’s messages – headers, footers, and left and right banners - at your disposal.
