Different Signatures for Different Users
The Latin motto of the United States is E Pluribus Unum which means Out of Many, One. Why have many email signature templates if you can have just one? If you have a lot of users in your company who send messages via Exchange Sever, you might encounter difficulties applying different signatures for different users. The higher the number of mailboxes, the more email signatures templates have to be composed. If you have 50+ people sending messages every day, managing their signatures and email rules might become an arduous job.
The solution is to abandon email client sided signatures and introduce a centralized management of signatures on Exchange by applying Hub Transport rules. However, this is not an easy task and it's not free of flaws and limitations. Exchange will not let you control where email signatures are stamped in emails (only at the very bottom of the correspondence). It is also not capable of adding dynamic images to email signatures, using multiple rules per message, displaying email signatures or disclaimers in Sent Items and lacks any WYSIWYG editor for creating HTML and plain text signatures.
CodeTwo Exchange Rules Pro can do all of it as it was meant to be head and shoulders above Exchange Hub Transport rules. It also allows you to create email rules with dynamic contents, which means your users do not have to create rules by themselves, but you can create one (or a few) templates for all of them and easily manage email signatures on Exchange Server. The program automatically inserts proper user data basing on who is the sender or recipient of a given message. Your admins can use any of the following recipient's or sender's conditions to define the auto-signature that is to be used in an email:
- either sender's or recipient's email address,
- sender's or recipient's domain,
- internal or external address of the domain,
- Active Directory user,
- Active Directory property fields ,
- Organizational Unit,
- Active Directory Group,
The above-mentioned criteria let you take full control of the automatic signatures and disclaimer insertion. Owing to this, you can set the program to:
- add personalized signatures basing on a unique signature template
- add different signatures for internal and external correspondence,
- append diverse signatures for various departments in your company
- insert footers depending on recipients - e.g. each of your business partners will receive your workers' messages with different auto-signatures
