HTML Support / Signature editor

In Exchange Server 2010, administrators can finally use HTML tags in the basic editor that is provided to format the text. However, the lack of ribbon or a toolbar makes it very clumsy in usage and require a lot of patience in order to build your template. You will have a hard time formatting your signature or disclaimer to make it look just as you want it to be.

Our CodeTwo Exchange Rules 2010, however, includes an advanced editor that simplifies the creation of your signatures and disclaimers. The editor contains a lot of options to easily change font type, size, color, add web links, graphics, etc. What is more, you can use the editor’s ribbon to conveniently add Active Directory fields without looking them up in the system plus spelling mistakes are eliminated.

Rule wizard / AD integration

Using the built-in rule wizard of Exchange Server 2010, you will need to wade through the options that seem to mushroom uncontrollably with every step you take. Actually, most of them will never be used but still they add up to the confusion.

On the other hand, the rule wizard in our CodeTwo Exchange Rules 2010 is very clear, intuitive and user-friendly. It guides you through the configuration of the rule and is integrated with Active Directory in order to easily pick up user mailboxes, groups and whole organizational units that will make use of the rule. It will let you preview your signature/disclaimer in order to run checks without sending mail. Finally, it asks you if you need to use advanced options such as insertion of footers right under the last response or at the very bottom of the message, allow multiple rule processing and offer suppressing phrases for users who do not want to use disclaimers in their mail.

Images

The vast majority of companies want to use graphics in their footers, from company logos, to ad banners, to dynamically added employee photos and handwritten signatures. The capability built into Exchange Server 2010 will make sure it is as complicated as possible. You will probably spend hours trying to figure out how to set up images in footers only to find it undoable. On the other hand, with CodeTwo Exchange Rules 2010 the addition of images is just plain sailing. This is true both for static images that will be the same for the whole department or company, as for dynamic photos that are selected based on the email address and different for each user.

Auto-removal of redundant lines in signatures

The moment you compose your signature template does not mark the end of trouble. You need to make sure the signatures look neat and tidy for the recipient. You might wonder what happens if you use AD fields in the template that happen to contain no data in some users’ entries. Typically, this would mean you have an empty line that sticks out.

You can tackle this problem if you are using CodeTwo Exchange Rules 2010 for this will have you covered in this respect. The program includes a feature that is responsible for removing such empty lines that make signatures look like gapped text on the fly.

Footers visible in Sent Items folders of users

Once you configure your Exchange Server 2010 rules to add disclaimers or signatures, you will encounter another issue. The end users do not know their mail is stamped on the server - they cannot see any change in the way the message looks while they are composing it or when it is moved to the Sent Items folder upon sending.

CodeTwo Exchange Rules 2010 provides a helpful solution - all mail that is processed by the program and that receives a signature or disclaimer will appear with this footer in the Sent Items folder. Now users can browse the sent mail to see what the end result is when they send email.

Multiple rules per message

CodeTwo Exchange Rules 2010 can use several rules when processing a single message. This means you can have a separate rule that will add a disclaimer and another one that inserts a signature. If you want both to add to the message you will need two rules to be used per message. Our program can do the trick.
