The quickest way to make professional email signatures for all employees

Over 100 professional email signatures, banners, labels and disclaimer images have been made accessible for free in a built-in library of CodeTwo Exchange Rules Pro. What does it mean? It means simply that making beautiful and modern branding of your corporate electronic correspondence is now a matter of a few clicks and can be real fun!

Once you have created your rule in the administration panel of CodeTwo’s program, there are only 3 steps to make a professional email signature that can be automatically attached to all messages sent from your company’s mailboxes. In addition, it can contain names, contact details and even individual photos of each employee pulled from Active Directory.

Step 1: Find a proper action

Go to the Actions tab, click Add in the List of Actions and choose Insert disclaimer/signature. On the right hand side you can see two buttons: Options (a quick, handy function to define a position of your disclaimer – top, bottom, left or right) and the Edit template… . Click on the Edit template… button to open the Template Editor.

Step 2: Check-out the new library full of ideas

The Template Editor that facilitates CodeTwo Exchange Rules Pro has everything you need: it simple to use, rich in functions and contains an impressive library of fancy visual propositions prepared for your own use to help you establish your new, stylish e-mail branding. So even if you have to make everything from scratch and your mind goes blank as you do not know what to start with, a whole palette of lovely inspirations is already there. Simply click on the Library tab and go quickly through the list of various designs to select the one that best suits your needs (see some of the examples below).

Step 3: Use Template Editor to make your magic!

Ok, you have chosen something that looks pretty cool, but there are still no names of your company, employees’ phone numbers, e-mail addresses etc. Do not worry. Each of signatures contains Dynamic Fields that pull data, such as names, contact details and even photos from your Active Directory. They are marked with brackets: { } and can be easily edited in HTML, RTF or Plain Text preview. See below:

And that is it! The program will automatically add a customized signature to all e-mails sent by your company members specified in the Conditions tab. In the latest 1.2. version,  you can not only pull contact details kept in Active Directory to your signatures, but even add senders’ photographs.

Exchange Server: Synchronize Public Folders with Mobile Devices

If you’re using Exchange Server to keep common company data bases (contacts, schedules, tasks , etc.), you will probably encounter a basic problem of companies similar to yours: How to pull this data out of public folders and replicate it to mobile devices of workers that work among your clients and business partners outside the office?

You might be surprised with it, but this (any way you slice it) basic process can’t be achieved just by using Exchange Server native capabilities. The ActiveSync service, which is responsible for syncing private folders with Windows Mobile handhelds, isn’t capable of  synchronizing public folders with them. In fact, the majority of mobile devices is only able to sync themselves with default folders of a desktop mail client. Normally, you will not be able to sync your mobile device with any additional personal folder. In other words, if you create e.g. Calendar No. 2 in your Outlook you will not be able to keep it in sync with your smartphone. Furthermore, it is not possible to sync data directly from Exchange Server public folders. How to solve this issue then? CodeTwo has the right solution for you.

CodeTwo Exchange Sync is an application installed directly on the server that enables automatic synchronization of selected Microsoft Exchange Server folders. The program is extremely versatile in it’s applications. Email filtering and sensitive content protection on Exchange Server

Nowadays, most of us can hardly imagine living without using e-mail. Certainly, electronic mail has replaced traditional mail in many cases, becoming an efficient tool for communication and marketing. We use e-mail every day, starting from personal messages and finishing on purely business-related matters: job applications, subscriptions, reservations, transactions, promotional vouchers, invoices, on-line shopping, etc. A great number of important and confidential information flows from one inbox to another one and we can never be sure of its safety.

Now, let’s imagine a large company, where this number increases along with the series of promotional materials, newsletters, business offers, job enquires, clients complaints, support requests, inter-departments conversations and plain rubbish messages with no value for the company. Email auto-responders on Exchange Server

The idea of auto-responders is not new but it turns out most of us don’t know how to use them properly, safely and, first and foremost, how to configure a server (or an email system) to send email auto replies to selected recipients or for particular addresses.
What are email auto-responders?
Email auto-responders are email replies sent automatically by servers when original recipients are unavailable or have to answer thousands of emails every day. Generally, mail auto-responders are created by (or for) people who are very busy and cannot read and write emails, are out of the office, on a holiday leave or no longer work for a given company. Frequently autoresponders are used in customer support or online sales services to instantly reply to all messages sent by clients or potential business partners. These types of auto-responders mainly are used to inform customers that their emails have been received and will be processed and answered anytime soon.

Patch 2.0.2 for CodeTwo Exchange Rules 2007

A patch including three fixes for CodeTwo Exchange Rules 2007 was released on July 10. The patch fixes the following:

  • There was a case of server’s CPU being overloaded by MSExchangeTransport.exe process.
  • It was not possible to insert ‘notes’ and ‘display name’ data fields in Active Directory using the built-in editor.
  • ‘Invalid argument’ error occurred in the administration module when the changes were saved. This was caused by multiple changes in the priority of rules by moving them up and down.

The patch is dedicated only for 2.0 version. During the installation, Exchange Transport service is restarted.

The patch is applied by installing the complete program anew.

Patch for CodeTwo Exchange Rules 2007

A patch including two fixes for CodeTwo Exchange Rules 2007 was released on June 10. The patch fixes the following:

  • The program counted licenses incorrectly if the received message was sent by a user defined in Exchange as a Contact object.
  • Images were displayed incorrectly by Mozilla Thunderbird.

The patch is dedicated only for 2.0 version. During the installation, Exchange Transport service is restarted.

The patch is applied by installing the complete program anew.
