Sharing documents with CodeTwo Public Folders

This situation must have happened to every person on the planet a number of times: You had been looking for something for 30 minutes; you searched every drawer in your desk, checked the kitchen table, looked literally in every nook and cranny. Then, burning with rage, you started to examine contents of your refrigerator, opened the oven, went out to dig for it in a dumpster. Nothing! Eventually, you returned home downhearted and.. there it was! On top of your desk!

Sharing documents with CodeTwo Public Folders is sometimes pretty much the same for our users. Some of them assume that this is going to be so difficult that they don’t even think of doing it. Others try to doing it in a way even our software developers aren’t aware of. I know what you’re thinking right now: “OK smarty-pants! Stop taking the Mickey out of me and tell me how to do it!”.

Well, the solution is just around the corner and it is as simple as looking for something on your desk first. It is enough if you create an Outlook folder (Mail and Post Items) and then simply drag&drop your files onto it. That’s it! No magic needed. Using this method and CodeTwo Public Folders, you can share Office documents, PDF files, MP3, AVI, JPG, ZIP, RAR and many more.

Disable Outlook signatures remotely

A vast number of our users have been asking questions about disabling Outlook signatures that, once CodeTwo Exchange Rules is on board, seem not to be important anymore. If you have thousands of users, asking them to switch Outlook signature off or (God forbid!) doing it alone one-by-one might do more harm than good.

However, you can use Group Policy Object, the tool for Exchange server, and disable adding all signatures created in Outlook. Intelligent signatures in CodeTwo Exchange Rules

Thanks to the advanced settings of CodeTwo Exchange Rules, you can create an ‘intelligent’ signature that will change its form depending on circumstances. For instance, in the first mail that you send, your signature might be highly complex and include as much information as you wish, whereas in the further correspondence your disclaimer might be automatically slimmed down and contain just the necessary information about the sender.

The trick to using extra custom fields and suppressing tool

The built-in editor in CodeTwo Exchange Rules includes a functionality enabling quick and easy insertion of AD placeholders that are filled with data dynamically when the message travels through Exchange Server. Apart from the standard fields (e.g. First Name, Last Name, Company, Title Department), the AD button allows using extra placeholders, listed under Exchattr (click here to learn more about this option).

If you combine extra placeholders and a suppressing tool of CodeTwo Exchange Rules you might be able to let your users decide which footer is to be added by the program and in each language.
